Terms and conditions for Children's parties and services 

These terms of service are designed to protect our clients, staff and the company. 

It is our aim to be as fair as possible.

All clients must read these terms before they make a booking. 

By completing a booking form and making a non refundable deposit payment you agree to fulfil your obligations under this agreement. If you have any questions please don’t hesitate to contact us.

Flava fun parties (hereafter know as ‘Flava Fun entertainments or Yorkshire fun parties, ‘us’ , ‘we’, ‘our’, ‘ourselves’, or ‘the company’) is a children’s disco service provider (Mobile Dj). The scope of our services are outlined on our website and may change on an ongoing basis.

You, the person booking our services, (here after referred to as ‘the client’, ‘You’ or ‘I’) accept to be bound by the full term of use outlined below.

Please note that by paying the deposit and filling in our booking contract you have agreed to these terms and conditions.

Just to give you a understanding of the price you have been quoted for the day, is not just covering the hours you have stated, this also covers the hour before which is for setting up, the half hour after which is for packing away, the hour its taken staff the day before the party to make the music play list and get everything ready for the games. Plus on most cases this also covers the hours of travel to and from the venue (not included the fuel costs unless you have been charged travel expenses which covers fuel cost's)

Booking Parties

  • Parties are confirmed on a ‘first come, first served’ basis and are subject to availability.

  • These booking terms and conditions also include any additional service that Flava fun entertainments provide, including Face painting, Mascots, Balloon modelling, Glitter tattoo’s, Face glitter, Photo backdrops and more.

  • Parties cannot be confirmed without timings and a venue in place.

  • Flava fun entertainments offer different time slots throughout the day, which can not be changed at the last minute due to other time slots being taken through your day.

  • Full details must be supplied on your booking contract, including the full address of your venue and postcode. We cannot take responsibility for late arrival due to the supply of incorrect information.

  • Often parents ask about siblings. If the child is over 18 months and under 16 years old then they will be classed as part of the party.

  • You must state the estimated number of children who will attend the party if you are booking one of our themed parties or parties that include face painting, glitter station, hair station, or balloon modelling. If you are just booking a Bronze silver or gold disco party then we do not need to know how many children that are going to be present.  If, at any time after initial contact but before the date of the party you wish to amend this number you must notify us of the revised estimated number.

  • It is your sole responsibility to check through all documents forwarded to you from Flava fun entertainments. You must inform us immediately if anything is incorrect.

  • Parties attract children from all friendship and family circles and thus often involve a range of age groups. Flava fun entertainments may ask for the average age group expected to attend on the day, and will cater party games and a structure to suit the majority. Please decide which age group you would prefer the party be focussed on, to avoid disappointment on the day.

  • By booking a party with Flava Fun entertainments you agree that you release us from any liability associated with loss, injury and accidents of any kind. This includes but is not limited to accidents occurring to any adults or children. You also release Flava fun entertainments from any liability associated with accidents or damage caused to furniture, fixtures or fitting or property of any kind not belonging to that of Flava fun entertainments


  • We cannot confirm any party booking until full payment that was agreed in the booking email  which is  non refundable deposit has been made and the booking contract has been sent back. Parties must be paid for in full at least 7 days prior to the event unless agreed between us and flava fun entertainments. We cannot take final payments on the day in cheque/paypal or stripe payments.

  • Payment can be made via BACs, Paypal or online payment portal (stripe), but must be made no later than 7 days before your booked date.

  • The price quoted  and agreed at the time of booking is the price that the company (Flava Fun Entertainments) and the consumer (you) agree upon and must be paid as such.

  • If you would like your party to be a joint party and wasn't agreed at the time of the booking, then there will be an extra charge of £15 per birthday child.

Additional Information

  • You must notify your Party Host of any disabilities, allergies, phobias or injuries any of  the children may have, that you know of.

  • It is the client’s responsibility to check that all children attending are not allergic to any types of sweets prior to the party. The Party Host should be made fully aware if there is a child with allergies, however, it is ultimately the client’s and parent/guardian’s responsibility to make sure the child with allergies does not eat or touch the sweets provided by the Party Host.

  • Quite often the sweets we hand out have gelatine in them or chocolate coins. We ask that parents make their children known to us at the beginning of the party if their child has sensitivities and/or doesn’t eat gelatine/chocolate so we do not inadvertently compromise their wellbeing. However, it is the responsibility of the parents/carers to ensure that children do not eat sweets & chocolates, and are safe with wrappers etc.

  • We also require you to check with all the parents and make them aware of any of the additional services you have booked, due to any children with skin reactions, allergic reactions to products we may use ie latex balloons, face paints, glitters, skin glues.

  • If any children attending the event have Special Needs which may affect their ability to take part in the event it is important that you must provide us with full details at least 7 calendar days before the event so that we are able to make any reasonable adjustments, if we can. We will play the games we usually do but try to involve the children with any disabilities. You are responsible for ensuring that such children are able to safely attend and engage in the event;

  • The party hosts will bring a range of suitable party music with them to the party. Should you have any special music requests we will endeavour to fulfil these, but cannot guarantee them.


On the Day

  • Flava Fun Entertainments is not responsible for any unruly behaviour during the party

  • In exceptional circumstances, your party host may ask the parent/carer to speak with any party guests that they feel are behaving in an unacceptable manner. The party host reserves all rights to ask the parent/carer to exclude the guest from the party area should they feel it is necessary. Children and their actions remain the full responsibility of their parents/guardians.

  • All parties last 1 – 4 hours depending on the time & date of the party. This is indicated on your invoice. Should you arrive late we will not extended your times or run over, if you want your chosen services to run over or extend on the day you will be charged at the rate of £30 per half hour

  • All parties take place in different spaces, with a different audiences and different conditions. Because of this music, prizes, sound systems, props and equipment may vary between parties. We ask for your assistance in making yourself available during the party to talk to us about any changes, as necessary. This way we can ensure the party is in line with your expectations given the conditions on the day.

  • We ask that if you are having a mascot in attendance at your party, we ask you to see to it that the children do not pull tug or physically attack the mascot. If at any point our mascot states they have been kicked punched, pulled at with their outfit, we have the right to remove the mascot from the party and you will still be held to the full amount for your party booking that was agreed beforehand. 

  • We state that if we are on a stage, that no children are on the stage at any point unless invited by Flava fun entertainments staff. 

  • We will set up tables of either prize tables or face painting/ face glitter/ glitter tattoos -  we ask that you keep all children away from those designated areas until asked over by our staff, and if children play, knock over, or take away our products, we can not guarantee the services you have booked, and you will incur extra charges at the end of the party to restock product that is lost. Of up to the value of £30

  • Our staff will approach you to ask if you enjoyed the party, and if you have any queries about the date or their was something wrong, then we ask you bring this up with the staff on the day. but please note we do not offer refunds or discounts of any sorts. 

Health & Safety

  • Due to Health and Safety, Party Hosts can only be responsible for a maximum of 30 Children, and if you have more than 30 children in attendance then please inform us and also. If there are more than 30 children at the party we ask you to be vigilant and eyes on with the children to help keep control of the day to stop any unnecessary running around barging or accidents, to help make the party fun for all the children, which flava fun entertainments will require you to do throughout the whole of the party

  • If there are more than 30 children and flava fun entertainments think it is getting unruly with some children running around disturbing games and the children trying to take part, we will look at stopping the party games and just referring to disco to guarantee the safety of the children.

  • Our Party Host will carry out a Visual Risk Assessment prior to the start of your party and reserve the right to discontinue if they feel the venue puts the children at serious risk. It is the ultimate responsibility of the party booker to choose an appropriate venue. But if we find it is unsuitable you will still be held to the total amount of the party booking,

  • There must be at least 2 adults present during party and the safety of all guests is the sole responsibility of the parents/carers, who must be 18 years or above this includes supervision of exits and that children only leave the party with their own parents or guardians. Our party host’s responsibly is strictly limited to the supervision of party activities provided by Flava fun entertainments.

  • Your party host can withdraw activities if they feel the venue space, flooring or number of children make the activity unsafe.

Venue & Parking

  • We require a 13amp socket for our equipment and a suitable sized and cleared area for the entertainment. We ask that the cleared area is close to the plug socket so that there isn't any wires around.

  • There must be a parking space provided for the Party Host with a maximum 1 minutes walking distance to the venue. The client understands that if there is not a parking space within a maximum 1 minutes walking distance provided, and flava fun entertainments have not been notified of this, that the extra time to unload equipment and set up may result in a delay to the party start time.

  • The party host’s are not responsible for delays in access to the venue or entertainment area & for any power failure beyond his/her control. If the venue is not on the ground floor, extra time may be required to set up. The client must inform the party host if extra time may be needed. In the unlikely event the party host is delayed from starting the party due to events beyond the party hosts control, the client is still liable for the full fee.

  • Please check your phone on the party day near your party time in case the party host is struggling to find you.

  • The client is responsible for ensuring that they have obtained all of the necessary permits and/or permissions for hosting an event, at their chosen venue.

  • Please note Flava fun entertainments does not take responsibility for children causing damage to a venue or any property that the party is held in


Cancellations, refunds and rescheduling

  • All deposits are non-refundable.

  • Please notify us as soon as possible if you need to cancel or transfer your booking. Cancellations MUST be made at least 30 days BEFORE your event .

  • All cancellations made 10 days prior to your party will result in the total amount being forfeited if already paid up or will be subject to the payment of the full amount owed.

  • Rescheduling parties are subject to availability & our discretion – in the case of a child being seriously ill or incapacitated,

  • In the event of adverse weather, serious illness or unforeseen circumstances on our part, we reserve the right to cancel the event and offer an alternative date. In the very unlikely event that this does happen, we will give you as much notice as possible.

Unlikely events 

  • In the event of uk weather condition, snow, flooding, illness, or car breakdown,  making it impossible for our staff to make your party which most of the time can not be judged until the date of the party, you will be informed by a member of staff  as soon as we possibly can and reimburse any amount of monies you have paid to your booking. (any monies that you will be reimburse will take around 7 days)

  • Please note our staff live in Sheffield, and we live at the second highest point in Sheffield, when it snows, our area is most likely to be one of the heaviest hit and it makes some roads unpassable. We will always strive to do what we can to make it to every event but some times the uk weather has other ideas and makes it impossible for us.


  • Our themed parties are a tribute to the original, and for trademark & copyright purposes

  • We cannot be responsible for not being able to provide activities that require electricity, due to power failures or tripped circuits at the venue we are operating in.

  • If any child/ren or you or any other adult(s) at your party negligently cause damage to equipment or other property belonging to us, you must reimburse us for the cost of repairing/replacing the equipment or property up to a maximum total amount of £3,000 for all items.

  • You accept that Flava fun entertainments assumes no responsibility for providing first aid or first aid provision during the party, and you take full reasonability for this.

You can help us deliver the best possible party by doing the following;

  • Ensuring that any balloons in the room are tied up and not on the floor (until the disco games)

  • Our parties are very interactive, and by providing a space where the children can focus you will ensure that they are able to have the best possible time!

  • Keeping the party space nice and clear for all of our games!

  • If other entertainment is booked for the children or there are other distractions, e.g. bouncy castles, soft play, toys, uncovered food, Flava fun entertainments advise for them to be removed while the party entertainment is running. If not, the client understands that children may be distracted by the other items and therefore not be with the Party Host.

  •  Providing us with 2 to 3 tables that will be needed on the day and 1 to 5 chairs depending on the services that are booked. If you would like to check the amount of tables and chairs we are need please contact us via email and we will let you know as soon as we possibly can.

Help us make our parties even better​

  • We may occasionally take photographs for our Facebook page and website, please let us know at the time of your party if you do not wish for us to do so.

  • We would love to receive a positive review from you, either via google, Facebook, or, if you feel we could have done things different or have any problems please email us with your thoughts and we hope we can take them on board for our other parties

  • Our Party Hosts, have held CRB/DBS checks within the last 5 years although it is not a legal requirement for party hosts to have a CRB/DBS. However,  please feel free to ask if you would like a more recent check, a charge may apply.

Charges that may be incurred

  • Any damages by children that are or are not supervised  between (£10 and £2000) payable via cash on the day or invoice payable within 14 days

  • Late payment charges - If payment isn't made before your booking date, and you haven't paid via cash on the date, you will be liable and charged a late payment fee of £40 in the first 24 hours, there after every week a late payment charge of £50 per week. (We reserve the right to add administration charges to any late payments charges are as follows : £30 administration fee, Any phone calls or email reminders will be charged at £10 per one)

  • Additional children on the day that haven't been quoted for - Charged at £2 per child per service you have booked, payable on the via the customer

  • parking charges or tickets - if our staff incur any parking charges or parking tickets whilst being at our venue and party, (because appropriate parking hasn't been provided, as you have chosen that specific venue, or our staff have had to park close in a car park that is pay and display  you will be billed for the amount they have incurred and this could be up to 30 to 60 days after your event, which you will be invoiced for accordingly and proof will be sent with the invoice. 

These terms and conditions do not affect your statutory rights.
